What you will do at Precinct One

Working under the direction of the Community Affairs and Advocacy Director, the Events Coordinator plans and implements a year-round calendar of special events for Precinct One. The position collaborates with staff to create the theme and brand of each event as well as define the purpose, and outcomes for gatherings as well as program effectiveness. The Events Coordinator handles all aspects of event planning from event production, coordinating communications, overseeing logistical details, and creating and monitoring event budgets.



Essential Duties and Responsibilities

  • Plans and implements from start to finish Precinct One special events scheduled throughout the year. Events vary in size, constituency group, and venues, but all focus on engaging employees and sustaining constituent support.
  • Oversees and directs logistics of event planning, implementation and follow-up. This includes all aspects of event coordination: invitations and marketing collateral materials, web content and updates, guest list production, communications, tracking RSVPs, registration and seating charts, vendor contracts and relations, soliciting event sponsors, event set-up and breakdown, guest and donor stewardship such as writing thank you letters, among other duties.
  • Conducts year-to-year and event-to-event comparative analyses to determine the effectiveness of events.
  • Trains and oversees the work of employee volunteers and serves as the lead staff for on-site at events.
  • Leads special events committees.
  • Collaborates with divisional directors in identifying potential committee members; recruits members as appropriate; and advises and plans committee work (e.g. meeting notices, agendas etc.).
  • Creates and monitors special events budgets and timelines.
  • Collaborates with various divisions in creating event programs, coordinating speakers, working with Communications on talking points.
  • Assures confidentiality of all data, including sensitive information related to event guests, sponsors/donors, students, volunteers and staff.
  • Performs other related duties as assigned.

Requirements

What you will bring to Precinct One


Education:

  • Bachelor’s Degree from an accredited college or university.

    • At least 5 years of event planning experience may substitute for the college level course work.
Experience:

  • Three (3) years of direct events planning and coordination experience

About Precinct One
There are four precincts in Harris County. The four elected commissioners, along with an elected county judge, serve as members of Harris County Commissioners Court, the administrative head of the county’s government. Commissioner Rodney Ellis represents the constituents of Precinct One.


With approximately 1.17 million residents, Harris County Precinct One is a diverse, urban precinct that covers 363 square miles. Precinct One’s multi-racial, multi-ethnic population is roughly 33 percent African American, 38 percent Latino, 21 percent Anglo, 6 percent Asian and 2 percent other or multiple races.


Precinct One stretches south to Brazoria County and reaches into eastern and northern sections of Harris County. The Precinct’s territory includes a large section of Downtown Houston, including the Downtown Harris County Courthouse Complex, Toyota Center, Minute Maid Park and the BBVA Compass Stadium. Other notable landmarks include the 263-acre NRG Park Complex and the renowned Texas Medical Center. The Precinct is also the higher educational home to Houston Community College, Rice University, Texas Southern University, the University of Houston and the University of St. Thomas. Precinct One manages more than 21 parks, 10 community centers, numerous hike-and-bike trails, three maintenance service centers and several area offices, all of which provide an array of services to Precinct One residents.
