Job Description

Our client, a global firm is seeking an Executive/Personal Assistant for their Vice Chairman.  The company operates in over 50 countries and this is an amazing opportunity to work in the NYC office.  They are seeking someone who has the upmost level of discretion as this is working in in the Executive Office.   Candidates should have 2-5 years of experience.  Seeking someone who strives for success, has impeccable attention to detail and does whatever it takes to get the job done!  This is a true 24/7 role and meant for someone who is ambitious and takes initiative!

  • Salary depends on experience: (100-140k) plus paid OT;
  • 5 days in office; 8am-6pm

Responsibilities:

  • Provide administrative support to Vice Charman
  • Schedule and organize extensive internal and external meetings, conference/video calls, events/conferences, and appointments
  • Plan and executive all domestic and international travel including flights, hotels, ground transportation, visas, detailed itineraries, etc.
  • Act as the primary gatekeeper; fielding incoming calls and emails and responding appropriately
  • Prepare, process, and submit expense reports
  • Help executive prepare for meetings including: preparing and gathering materials, conducting research, compiling agendas and briefing executive on all necessary items
  • Liaise with team members to follow up on tasks, deadlines, timelines, and troubleshoot accordingly.
  • Be available to calls/texts before office hours (job includes paid OT)

Required Qualifications:

  • 2-5 years of experience as an Executive or Personal Assistant in a fast paced, high pressure environment
  • Bachelor’s degree strongly preferred/required
  • Extremely polished, forward-facing, and professional
  • Excellent interpersonal and communication skills (both verbal and written). Ability to brief executive and respond to emails on their behalf
  • Accustomed to working in a fast-paced environment
  • Ability to have “finger on the pulse” and being aware of where everyone is and what is happening at all times
  • Comfortable working with all levels of an organization
  • Advanced proficiency in Google Suite (Docs, Sheets, Drive)
  • Must be able to remain calm under pressure
