Job Description

Our client, an NYC-based, investment management firm, is seeking an Executive Assistant to support their CEO. This role is pivotal in ensuring seamless coordination and efficiency. Key responsibilities include calendar and time management, travel coordination, meeting prep, and overall gatekeeping/partnering with CEO. This is a great opportunity to join a fast-paced, quickly growing firm! This role is in office 5x a week. 

Responsibilities
  • Provide executive-level administrative support to the CEO, including thoughtful time management, high-volume calendar management and meeting coordination.
  • Strategically coordinate domestic and international travel arrangements (via commercial and private), and troubleshoot travel logistics as they arise.
  • Prepare and organize materials for presentations and meetings, ensuring professionalism and accuracy.
  • Create and distribute meeting agendas, ensuring all participants are well-prepared.
  • Act as a central point of contact for internal and external communications.
  • Assist in preparing and distributing internal documents and reports.
  • Support event planning and organization, including logistics for in-person and virtual events.
  • Ensure meticulous organization of files and documents, maintaining a comprehensive filing system.
  • Monitor and manage expenses.
  • Assist in project management ensuring timelines and goals are met.
  • Light PA as needed.
  • Ad hoc assignments as requested. 
Requirements
  • 3-10 years of applicable work experience.
  • Excellent verbal and written communication skills.
  • Proficient in Outlook, Excel, Word, and PowerPoint.
  • High level of precision in a fast-paced, dynamic environment.
  • Exceptional organizational skills and logical thinking.
  • Positive mentality with a meticulous approach to work. 
  • Team player with the ability to work independently, exhibiting appropriate discretion. 


Salary

$110-$150K (DOE) + Discretionary bonus opportunity + Excellent benefits + PTO + Perks!

Hours
8:30am-6:00pm + Flexibility when needed.
